What an office move actually costs you

Almost never the invoice. A twelve-person office that cannot take calls on a Monday has lost more than the move cost, and a sales floor that spends the morning hunting for its own monitors has lost it twice. That is the number worth protecting, and nearly every decision on this page follows from it — the after-hours window, the labelling keyed to a floor plan, the workstations rebuilt before anyone arrives.

It is also why office moves are not quoted from the residential hourly card. A home move is predictable from its bedroom count. An office is not: two firms on identical square footage can differ threefold once you count monitors, filing, furniture systems and what IT is taking. How an office move runs

Six steps, from walkthrough to a clear floor

  1. A walkthrough of both floors, before anything is quoted

    A coordinator walks the space you are leaving and the one you are taking. What comes out of that walk is a floor plan marked with where each desk lands, an inventory of what IT owns versus what the landlord owns, and a staging order. Offices are quoted from that walk rather than from a bedroom-count equivalent, because two firms on the same square footage can differ by a factor of three once you count monitors, filing and server gear.

  2. A move window chosen around your operating hours

    Most office moves we run start after the last person leaves on a Friday, or run across a weekend. The point is that the business is closed while the furniture is in transit, so nobody is billing hours in an empty room. We work seven days a week, and the crew that scopes the job is the crew that shows up for it.

  3. Building management, on both ends

    Downtown and Yaletown towers rarely let a truck simply arrive. Loading bays are booked, service elevators are reserved for a window, and certificates of insurance go to the property manager in advance. We arrange all three, at origin and destination, and we provide the certificate at no charge.

  4. Labelling that maps to the floor plan, not to a box count

    Every carton and every workstation component is labelled to the destination it belongs at, keyed to the plan from step one. That is what makes the difference between staff arriving to boxes in a heap and arriving to boxes at their own desk. It is also what lets a phased move work — the department moving this weekend is separable from the one moving next.

  5. Workstations down, electronics handled apart from furniture

    Desks, cubicle panels and shelving come apart and go back together by the same crew. Network and server equipment is handled with anti-static precautions and travels upright, separately from furniture, so nothing is stacked on it in the truck.

  6. Reassembly, placement, and a clear floor behind you

    Workstations are rebuilt and placed to the plan, not left flat-packed for your staff to solve on Monday. At the old address we clear and sweep, which is usually what the outgoing lease requires anyway.

Quoted After a Walkthrough, Not From a Rate Card

There is no price on this page, and that is deliberate. An office relocation is scoped in person and quoted as a custom rate agreed before the work begins — not billed against the hourly residential rates published elsewhere on this site, which describe a different service.

The walkthrough is short, usually under an hour for a floor. It produces the marked floor plan, the IT inventory, the staging order and the building constraints at both ends — and those four things are what a real number is built from. You get the figure before you commit to anything, and it does not move on the day unless you change the scope.

What is not charged for, on any move: stairs, elevator use, fuel or mileage. Protective equipment — blankets, straps, tape and dollies — comes with the crew and goes home with them. Certificates of insurance for your property managers are provided at no charge.

How do you minimise business downtime during an office move?

By moving when you are closed. Most of the office moves we run start after hours on a Friday or run across a weekend, so the furniture is in transit while nobody is trying to work. The other half of it is the floor plan and labelling: staff arriving to find their own boxes at their own desk are working within the hour, where staff arriving to an unlabelled heap are not. For larger offices we phase it by department over more than one window, so no part of the business is ever fully down.

Can you move our office after hours or on a weekend?

Yes, and it is how most office moves are scheduled. We operate seven days a week, 7am to 10pm, and evening and weekend windows are normal for commercial work rather than an exception we surcharge for. The constraint is usually the building rather than us — service elevator windows and after-hours access have to be booked with property management, which we arrange as part of the job.

Do you handle IT equipment, servers and workstations?

We move them. Network and server equipment is handled with anti-static precautions and travels upright, separated from furniture so nothing is stacked on it in the truck, and workstations are dismantled and rebuilt by the same crew. What we do not do is decommission or bring your systems back up — that stays with your IT team or your vendor, and the moves that go well are the ones where that line is agreed in the walkthrough.

How far ahead should we book an office move?

Further ahead than a home move, mostly because of the building rather than our calendar. Service elevator and loading bay windows in downtown towers are commonly booked weeks out, and both ends need one. Two to four weeks is comfortable for a small office relocation; a floor with a phased departmental plan wants longer. If your date is tighter than that, call — the schedule sometimes has room even when the elevator does not.

How much does an office move cost?

Office moves vary too much for a published figure to mean anything: the desk count, how much of it is furniture systems that come apart, what IT is moving, whether it happens in one window or three, and what each building allows. Yes, and for anything larger than a single room it is often the better plan. Phasing by department means one team is unpacking while the rest of the business carries on, and it keeps each window short enough to fit the building access you were granted. It works because the labelling is keyed to a floor plan from the start, so the parts of the office are separable rather than one undifferentiated load.
